FAQ for Exhibitors
Here is some general information for people interested in being exhibitors at mission-net 2009:
EXHIBITOR REGISTRATION
We have sent out applications to many of you personally, however if you have not received one please contact exhibition@mission-net.org. Firstly, the Coordinator of your stand must fill in the Missions Exhibition Application form giving contact details as well as information regarding your exact requirements. Secondly, once your stand has been confirmed, you will be sent a link in which to register your exhibitors on-line. Every exhibitor that will be involved with the stand is required to fill out the exhibitor’s registration and pay the conference participant fee. This has to happen otherwise we cannot register the individuals, and provide their welcome pack and badge to allow access to the site
The registration deadline for exhibition stands and exhibitors is 31st January, 2009.
HOW TO REGISTER AND PAY
Complete the registration form, and return it to us. Please fill in on the application the exact details of who should be charged. All invoicing and payment will be through your organisation. We will not invoice individuals.
STAND PRICES (Yellow Zone)
4x3metres: 450 Euros
8x3 metres: 900 Euros
STAND PRICES (Blue Zone)
4x3 metres: 300 Euros
8x3 metres: 600 Euros
Wireless internet: 40 Euros
Per Table: 20 Euros
Per Chair: 10 Euros
Larger stands will be charged at an additional 40 Euros per sq metre for the Yellow Zone and an additional 20 Euros per sq metre for the Blue Zone.
We will provide partitions that clearly mark the area of your exhibit. Please do not mark the boards or nail or screw into the boards. All exhibits come with a 220 Volts power supply, but please indicate if you need an additional power supply. Please contact us if you have any special requirements.
Stand allocation has to be on a first come first serve basis, and we do have to charge the full registration fee for each exhibitor present.
CANCELLATIONS
Cancellations and changes to registrations need to be emailed to exhibition( at )Mission-Net.org.
ACCOMMODATION
Dormitory Style accommodation is also included in the Exhibitor Pass. You will need to bring with you an airbed and sleeping bag
HOTEL ACCOMMODATION
For information on hotel accommodation contact the Tourist Information Office in Oldenburg: www.oldenburg-tourist.de/engl/ Do mention that you want to book a room for the mission-net congress. The tourist Office will handle and confirm your booking allocation. Unfortunately, we cannot take responsibility for the booking of any hotel rooms. Hotel accommodation has to be paid directly to the hotel. Any hotel cancellation should be given by email/fax or post to the Tourist Office and not to the mission-net Congress Management. Cancellation fees on a cancelled hotel reservation are applicable and will be around 80% of the total accommodation price. Please do contact us as well if you wish, as we have negotiated some special rates with certain hotels and would be happy to pass this info onto you.
ENTRANCE PASSES
Everyone entering the congress site MUST have an Entrance Pass. That includes every person that will be exhibiting at your stand. These passes need to be worn at all times, otherwise security will question you as to whether you are a delegate or not. We do have to charge a fee of 10 Euros for all lost passes. You will receive your entrance passes on arrival, assuming your account has been fully paid.
CHILDREN
The rules regarding children under the age of 16 are as follows:
An entrance Pass for children must be purchased at the full price in advance
Children must be accompanied by an adult at ALL times.
Children are NOT allowed in the dormitory spaces
mission-net cannot be held responsible for children
Please be aware that there is no Children´s Programme throughout the congress!
YOUNG PEOPLE BETWEEN THE AGES OF 16-18
If you have young people between the ages of 16 and 18 with you as part of your staff, we will require a signed consent form from a parent or guardian. This is to ensure that there is suitable consent in the event of a medical emergency.
